AI Document Processing Directly from Office Multi-Function Devices

We designed an MFP-based AI Document Processing Solution for Konica-Minolta Business Solutions (HK) Ltd. The goal is to make AI document functions available directly from office machines.

Business Challenge

Traditional scanning often ends at creating an image or PDF, leaving users to manually retype, compare, translate or structure the content afterwards.

Solution Strategy

The solution provides a menu of task-specific AI functions on the machine interface, processes scanned documents and sends outputs to the email addresses users provide.

Key Capabilities

OCR to Word

Searchable PDF generation

Document comparison

Translation

Bill and receipt recognition

Business card recognition

ID and passport recognition

Cheque recognition

Purchase order, sales order and invoice recognition

Handwritten-text removal

Process history

Technology & Architecture

  • MFP user interface
  • Scan input
  • AI/OCR processing
  • Structured spreadsheet/Word/PDF outputs
  • Email delivery
  • Job history

Outcome

  • Moves document-processing steps closer to the point of scan
  • Reduces repeated manual transcription for supported document types
  • Provides consistent task-specific interfaces for office users
  • Adds process history for tracking processed jobs

What This Demonstrates

This project demonstrates our ability to combine workflow analysis, software engineering, data processing and AI into an operational solution rather than treating AI as a standalone feature.

Build a Similar Solution

If your organisation has a comparable document, data or workflow challenge, we can assess the process and propose a phased solution.
